PAC General Meeting, April 12, 2012
Co-President, Amy V. — called meeting to order.
Prayer –was led by Sarah M. Secretary– Allison read March 08 General PAC minutes and Tracy G was first to motion approval of notes and Lauren S. was 2nd to motion, All in Favor, Motion passed. 03/08/12 notes approved.
Treasurer-Sarah M.-reports passed ( dated 04/10/2012 time 1:19:45 “Balance Sheet PAC March 2012” Sarah spoke about the “free money” from the Target charge cards & Box Tops. A PAC member suggested that we have a “rep” from Target come to our fall open house and sign people up for the cards. This is a “win win” for both parties. We are doing VERY well. Our used Uniform has out performed its goal of $4k, currently at 5614.81. Our Box Tops submissions were down this year but still going well. PAC Lunches going strong! Budget of $11,388. And currently at $17,624.55. This number is not exact due to Eleanor’s expenses not complete as of today. WE are doing well!
PAC Lunch-Lauren S.—April is assigned to the Kindergarten class. So far we have a good amount of volunteers with a few staggered holes here and there. May is assigned to PreK and First Grade. We need to put out a reminder that the required hours for the lunch duty is separate from the required hours to the school/events. PAC member asked why we have to document these hours and Ms. Lyon stated that it was for our Blue Ribbon Accred. It enhances our school and we truly need help in our lunch room daily.
Volunteer Coordinator, Natalie K ( not present, working in office)—President Amy R. spoke for her. As of now, Parents are able to input their hours remotely from home. If you need help, please call the office and we can assist. Statements will be going out to each family that has not completed the required hours.
Used Uniform Sales Coordinator, Jackie Ruiz, not present, but NEW replacement, Tina B. spoke about the proposed next sale on 04/16/12 depending on the volunteers she gets.
Development Coordinator, Loretta F.—Spring Social was a HUGE Success !!! Sold out crowd. We raised over $34k at this time which means we tripled our gross from last year. This is our second best Social ever ( the other raised $35k). There was approx. 250 people at this event. So we will have to really push early/advance sale tickets next year . A ‘PAC member’ asked about follow up Thank you letters to our vendors/donators. Sarah M. answered and spoke about how they will print those in the next couple of weeks. Karen L. stated that a letter will be going out to all of the parents showcasing HOW the monies will be spent and in what areas. She will get with the Teachers re: their supply lists/needs.
The Annual Fund- fund raiser is over our goal of $70k, we are now at $77k !!!! very successful year. The areas that the monies will go toward are as follows: Faculty Development, Technology, Scholarship, Athletics, Curriculum and Greatest Need.

The First and Third Grades . 1st Grade will get a party at Chik fila and the 3rd Grade will have an off campus lunch/party. Tba.
Donation Letters went out to all that donated but some had incorrect amounts on them. That is being recognized and we will fix this error.
Teacher Appreciation Dinner Coordinator-Tara Braddock—Staff invites will go out this week. The Theme is “Trivia Night” and the winning Tables will receive some prizes. Catered by a company out of Sanford. Looking for more Volunteers to help set up, serve and break down. Tara said she will use Signup Genious” and asked the HRP’s in the room if they could help. Amy R. asked Tara to do a mass email and include the phrase; ‘to fill your required hours’. She will need approx. 5 people for the dinner .
Teacher Appreciation Week-Amy R.—Please note the following days are planned for this special week: Monday 04/30—Flower Day, Tuesday 05/01—Big Gift for Teacher Day, Wednesday 05/02- Color/shirt day, Thursday,05/03-Card day, and Friday,05/04 is FIELD DAY.
Other Business—The Volunteers Breakfast is scheduled for April 19th/Thursday. Please plan on attending.
Filling the PAC Coordinator positions and officers for next year: Amy R. read off the positions and so far we only need Secretary, Box Tops and a VP.
